The Department of Oceanography is the only one of its kind in sub-Saharan Africa and provides both undergraduate and postgraduate training in Oceanography, Atmospheric Science and Climate. Currently, the department contains five academic and four PASS staff, a number of Honorary Research Associates and visiting scientists, and typically about fifty postgraduate students.
We seek a motivated, highly organized person as Administrative Officer who, in collaboration with the HoD, will be responsible for all administrative day to day tasks in the running of this busy and vibrant department.
This position is full time and permanent and ideally will start on August 1, 2015, or as soon as possible thereafter.
► A relevant post-secondary qualification with a financial component and a minimum of FOUR years directly relevant experience, OR if qualified by experience, a minimum of SEVEN years directly relevant experience
► Advanced computer literacy (minimum of MS Word, Powerpoint, Excel and data base management at moderate/advanced level)
► Experience with SAP or similar accounting packages
► Familiarity with UCT student records, HR and Finance policies and procedures
► Ability to form and maintain good working relationships with colleagues, students, and clients
► Accuracy and attention to detail, ability to show initiative
► Ability to work effectively under pressure, within a team and independently
► Deadline driven and ability to work effectively under pressure
► Excellent organising/coordinating skills
A knowledge of the UCT administrative system , experience in dealing with the NRF and/or other local and international funding agencies, and SAP purchasing and reporting experience, or similar would be advantageous.
► Provide a professional front line service for the Department of Oceanography dealing with staff, students and clients in Oceanography and related sciences.
► General administrative duties and document management including (but not limited to): Oceanography student records, filing, typing, photocopying, archiving, mailing, booking of flights/workshops/conferences
► Compile the annual departmental budget
► Manage and report on the department’s GOB budget and staff research grants
► Ensure an up-to-date and complete filing system for the Department of Oceanography.
► Carry out all SAP purchasing for projects and departmental activities
► Perform reporting functions to faculty for KPIs
► Taking minutes at departmental meetings
► Managing office space requirements for staff and postgraduate students
► Involvement in projects and tasks as directed by the Head of Department.
The annual cost of employment, including benefits is between R248 546 and R292 388.
