Front Office Administration - RECEPTIONIST (Experienced)

Johannesburg - Gauteng

A JOHANNESBURG BASED company specialising in pre-paid Electricity Meters is looking for an EXPERIENCED RECEPTIONIST (reporting to the Administration Manager).

The main purpose of the Receptionist is to be the first line of contact with all external clients and to provide Admin support.

Key stakeholders the Receptionist will engage with are:

►External clients
►Service providers
►Internal clients

Front Office Administration

►To receive incoming calls by answering them, identifying the purpose of the call, transferring calls and taking and forwarding messages daily
►To record all calls by identifying the number and types of calls received and updating this on a tracking sheet daily
►Keeping reception area and boardroom ready at all times
►Receive visitors by welcoming them, identifying their queries, offering them refreshments and directing them to the correct people daily

General Administration

►track levels of groceries and stationery by monitoring levels of goods, placing orders, receiving and checking goods out daily
►To reconcile the courier account by keeping record of items couriered, linking the courier costs to clients and forwarding the costs to finance for invoicing to clients monthly
►To provide administrative support by undertaking whatever administration tasks required as necessary
►Preparing meeting rooms, equipment and ensuring a register is taken at all meetings; submitting the register to HR for filing
►Effective minute taking at all staff meetings and submitting to HR within 24 hours with staff signatures
►Arranging staff birthdays
►Assist with organising company events
►Manage electronic calendar
►Keep stock of corporate gifts

Call C entre Shifts

►Undertake two weekend day shifts per month for the Call Centre
►Follow all Call Centre procedures
►Follow rules of escalation for Call Centre

►MUST LIVE IN JOHANNESBURG (preferably within 20km of Rosebank/Parkwood) Matric
►Computer literacy levels in Microsoft Excel, Outlook and Word
►Attention to detail
►Use of basic technology and equipment
►Customer focused
►Service oriented
►Excellent communication skills

The starting salary is R7,500, but is based on the age, experience and suitability of the candidate.
